Invite your team
RolChat ships four system roles. Higher roles include everything below them.
| Role | Can |
|---|---|
| Owner | Everything, including billing, deleting the account and transferring ownership. One per account. |
| Admin | Everything except billing and account deletion: settings, channels, members, roles, automation, plugins. |
| Manager | See every conversation, ticket and report for their teams; assign and reassign work; publish knowledge base articles; supervise calls. Cannot change system settings. |
| Agent | Work their own conversations and tickets, add notes and tags, create draft articles. See only what is assigned to them or waiting in the queue. |
Custom roles can be built in Settings → Team → Roles from any system role as a template, adding or removing individual permissions. The server checks that a custom role never exceeds what its author holds.
Invite members
Section titled “Invite members”- Open Settings → Team → Members and press Invite.
- Enter e-mail addresses, pick a role, and optionally limit the member to specific sites.
- Invitations are valid for 7 days. A member who signs up through the link is added with the role you chose.
Seats are counted per active member; see Settings → Billing for your plan’s seat count.
Teams group members for routing and reporting: an inbox can have a default team, tickets can be queued to a team, reports can be filtered by team. Create them in Settings → Team → Teams, add members, and set a team lead who receives escalations.
Sites and access
Section titled “Sites and access”If you support several websites or products, each is a site with its own widget, channels, knowledge base portal and working hours. A member with a per-site role sees only conversations, contacts and tickets of those sites. Owners and Admins see all sites.
Working hours and presence
Section titled “Working hours and presence”Each member has a status: online, away or offline, with an optional schedule. Managers can set a workload cap (maximum simultaneous chats per agent) so that routing skips someone who is full. Members set their own time zone and language in their profile; the dashboard renders dates in the member’s zone.
Security settings worth turning on early
Section titled “Security settings worth turning on early”- Two-factor authentication for Owners and Admins, or for everyone, in Settings → Security.
- Single sign-on with Google Workspace or Apple is available on every plan. SAML 2.0 is planned and not available yet.
- Session timeout defaults to 120 minutes idle and 30 days maximum; both are adjustable.
